Job Description

Connectivity Solutions is one of Canada’s leading cabling infrastructure service solutions providers. We’re currently looking for an Administrative Assistant/Project Coordinator to support our St. Catharines, Ontario location. This position is available immediately and will report into the General Manager.

Job Purpose: This role supports company operations by performing general accounting and project coordination duties.

Duties and Responsibilities:

Administration
• Accounts Receivable: enter payments in QuickBooks; process bank deposits; manage communications supporting past due notices and month end statements; manage the collection of overdue payments.
• Accounts Payable: enter QuickBooks credit card purchase receipts, supplier and vendor invoices, employee expenses, pre-authorized bill payments; remit bill payments; prepare cheques.
• Payroll: review bi-weekly employee time sheets for accuracy; enter hours into payroll system.
• Provide telephone and reception coverage, as required.
• Maintain up-to-date, complete and systematic filing system to support bookkeeping and financial records.
• Track storage facility inventory.
• Ensure technician and vendor training and clearances are up-to-date.
• Other general office/administrative duties, as required.

Project Coordination
• Provide the Project Estimator, Project Manager and Business Solutions Manager with assistance and regular project updates.
• Support multiple projects simultaneously, ensuring they’re delivered on time, on budget and in scope. Assist with the scheduling of project tasks, collect project status updates and track project milestones.
• Establish and maintain positive vendor and customer relationships.
• Communicate, via email and phone, with customers, vendors, technicians and supervisors.
• Coordinate the ordering, delivery and pick up of project specific materials for field technicians.
• Coordinate project deliverables with partners across Canada and the U.S.
• Manage digital and hardcopy file documents through the project life cycle.
• Perform other project coordinator duties, as assigned.

Required Education, Skills and Qualifications:
• College diploma in Accounting or equivalent professional work experience
• 1-3 years general accounting experience, including accounts payable/receivable
• 1-3 years of multi-project coordination experience
• Excellent problem-solving and analytical skills
• Excellent interpersonal and communication skills (written/verbal)
• Disciplined self-starter with the ability to work both independently and collaboratively in a fast-paced environment
• Strong organizational and time management skills, detail-oriented, able to prioritize and multi-task
• Have a positive, flexible can-do attitude
• Demonstrated proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe and QuickBooks Desktop (experience with premier contractor addition an asset)
• Ability to read electrical floor plans (asset)
• Ability to use AutoCAD (asset)

Job Type: Full-time. Monday to Friday, 8:30 AM – 5:00 PM

Rate of pay: Hourly rate to be determined, based on experience. Vacation and employer paid benefits upon the successful completion of three (3) months of probationary employment.
