Job Title: Administrative Coordinator

Terms of Employment: Permanent, Full Time

Hours: 37.5 hours per week

Salary: $30,000 ~ $40,000 per year

Location of Work: Niagara Falls, ON

Essential Duties and Responsibilities:

  • Plans, coordinates, and ensures the CEO’s schedule is followed and respected; managing an active calendar of appointments with external parties
  • Arranges detailed domestic and international travel plans, itineraries, and agendas
  • Assists the CEO in overall company development planning
  • Answers phones, set up appointments and maintains calendar accurately
  • Prepares correspondence
  • Maintains office facilities
  • Manages, procures, and maintains office supplies
  • Prepares and submits expense reports
  • Prioritizes conflicting needs; handles matter proactively
  • Provides additional support for welcoming guests, business partners, and shareholders into the Office of the President
  • Provides daily administrative support the management activities
  • Assists in recruitment efforts and new hire orientations with HR department
  • Greets incoming visitors and informs relevant departments
  • Uses Word, Excel, PowerPoint to organize files and produce materials for internal and external meetings and conferences




  • A minimum Bachelor’s degree
  • Post-secondary training in tourism or hotel management is an asset
  • Professional external and internal communication skills
  • Professional attitude and good organizational skills
  • Effective conflict management and decision-making
  • Outgoing and friendly with a gregarious personality and a natural talent for customer service, previous experience in customer service is an asset
  • Familiarity with office machines (e.g. fax, printer etc.)
  • Proficiency in MS Office is compulsory, basic knowledge of Photoshop is preferred
  • Administrative skills and time management skills
  • Proficient in English and Mandarin (oral and written)
  • Knowledgeable about the local area is preferred
  • Preference for application will be given to veterans, to Canadian citizens, and to permanent resident, in that order
