Position: Assistant to the Director of Operations

Position Type: Full Time Permanent

Overview of Responsibilities

REPORTS TO: Director of Operations

General Position Description

  • Assist with the items that help us successfully run an organization both at the office and within the field
  • Prioritize and handle tasks from multiple sources
  • Remain task focused
  • Demonstrate computer and administrative proficiency
  • Communicate with various stakeholders in a professional manner
  • Report to work on time and ready to perform tasks
  • Requirements
  • Experience managing aspects of health and safety in the workplace is an asset
  • Willingness to learn new things and take on additional tasks as needed

As an Operations Assistant your role is to assist the Director of Operations with the functions noted in bold below. A summary of responsibilities within each function are also outlined.

Employee/Workforce Development Strategy & Management

  • Recruitment – assist with job postings, contract management and employee orientation
  • Assist with grant and subsidy sourcing as needed
  • Ensure employee forms are readily available for employees
  • Organize daily worker schedule email and send to team

Safety Management

  • Assist with the development and monitoring of safety related policies within a company Health & Safety manual
  • Actively participate in a third party WSIB recognized safety group
  • Provide training or arrange for third party training for regulated and non-regulated safety items; manage safety records
  • Complete safety related inspections: site inspections, log books, first aid kit and fire extinguisher inspections
  • Serve as a Worker representative on the company JHSC
  • Assist with the management of third-party vendors including but not limited to PICS
  • Track company assigned PPE
  • Manage H&S Board
  • Review weekly jobsite inspections and work with the Director of Operations to address concerns in a timely manner
  • Ensure all items in shop are labelled and MSDS is readily available

Development of Policies & Procedures

  • Assist with the development of policies and procedures to maximize efficiencies within the company; document any new policies and procedures

 

 

IT Management

  • Assist with IT related items on an as needed basis
  • Marketing Strategy & Management
  • Oversee Stolk website maintenance, project items, etc as needed
  • Follow up phone calls with subcontractors
  • Schedule Management meetings with key stakeholders
  • Work with the PM team, including Junior PM to ensure jobsite signs are on appropriate jobs
  • Assist with the completion of pre-qualifications as needed
  • Facilities, Fleet & Stock Management
  • Oversee facility operations in a cost-effective manner including: tool, equipment and material inventory management
  • Maintain vehicle and equipment service records, schedule service appointments and communicate to the appropriate individuals
  • Manage the fueling of vehicles and maintain fuel records
  • Prepare weekly spreadsheet for fuel and inventory allocation to jobs
  • Manage returned tool inspection and tool and equipment repairs (both Stolk and employee owned) in collaboration with the Director of Operations; maintain record of all repairs, purchases, etc.
  • Manage the appearance of the shop and yard
  • Manage the opening and closing of the shop and yard on a daily basis
  • Arrange for construction waste, hazardous material and glass disposal
  • Obtain quotes and purchase inventory for shop and yard; maintain a vendor database
  • Oversee the truck appearance (inside and out), proper documentation within, required inventories, etc.
  • In collaboration with the PM /Jr. PM team coordinate the movement of equipment from shop to site, site to site, etc.
