Job Title: Accounts Receivable Clerk
Reports To: Controller
Posting Expiry Date: February 1, 2022

Job Summary:
The position of Accounting Receivable Clerk is responsible for managing all accounts receivables, payroll inputting, inventory management as well as providing assistance with reception and in the cash room, as required.

The position is located at the head office for Gales Gas Bars Limited, on Portage Road, in Niagara Falls. Working hours are from 8 am – 5 pm, Monday to Friday.

Gales has 15 gas stations located within the Niagara Region, including Fort Erie, St. Catharines, Thorold, Chippawa, St. David’s, Virgil and Niagara Falls.

Rate of pay: $37,000 per annum plus benefits

Job Duties:
Accounts Receivable

  • Post tickets/invoices to all customer accounts
  • Ensure that all driver paperwork is completed correctly and notify CEO/GM if it is not
  • Log copies of all refinery invoices, refinery EFT’s, and customer payment EFT’s.
  • Log onto Scotiabank remittances website and check for any new EFT’s, print a copy
  • Record and balance all customer EFT’s, CC & debit payments.
  • Create and balance bank deposit sheet (all cheques, EFT’s, CC’s & debits)
  • Post payments to customer’s accounts for both companies (Gas Bars & Fuels)
  • Post current month’s pre-authorized payments to customer accounts
  • Match all invoices to EFT notifications, ensure invoices balance to total
  • Monitor accounts receivable and place calls to customer accounts that are overdue
  • Process any invoices to the customer’s CC if on file
  • Enter forecasted temperatures from theweathernetwork.com into software program
  • Record all station and terminal deliveries using Bill of Lading and delivery slips provided by drivers
  • Balance product in terminal daily
  • Match all refinery invoices once received, to Bill of Lading, check to ensure pricing is correct
  • Match all invoices to EFT notifications, ensure invoices balance to total

Payroll

  • Reviewing timecards, schedules and processing bi-weekly payroll through WFN
  • Preparation of ROEs for employees who are on leave or terminated
  • Preparation and printing of payroll reports required for Controller

Back Up Reception

  • Answer all incoming calls and direct them accordingly
  • Greet all guests or customers walking through the door and assist them or direct them accordingly.
  • Check e-mail periodically throughout the day, respond to any e-mails that require a response

Requirements:

  • Completion of post-secondary diploma with a focus in Accounting or Business
  • A minimum of six months to one-year related work experience in an office environment, however two years related work experience is preferred

An employee in this position must be knowledgeable with regard to:

  • Accounting / bookkeeping / numeracy
  • Computer knowledge (Office, Sage, ADP preferred)
  • Strong customer service and troubleshooting skills
  • Good command of English, both verbal and written
  • Able to work with minimal supervision
  • Able to work well under pressure
  • Strong attention to detail
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times
