Job Description

Niagara Regional Broadband Network (NRBN) is the Region’s leading service provider of high-performance data, voice, and networking solutions. The Accounts Receivable Specialist (the “Specialist’) is responsible for preparing and sending monthly customer invoices and statements and assisting in the preparation of monthly financial statements as pertinent to their position. The Specialist will also record transactions by posting receipts and resolving discrepancies according to established policies and procedures in an efficient, timely and accurate manner.

The Specialist is further responsible for responding to customer billing/invoicing inquiries in a timely and professional manner via email and/or phone, adhering to NRBN’s procedures and customer service standards. Additionally, the Specialist will communicate overdue balances with customers and make arrangements to receive outstanding payments in accordance with NRBN’s policies and procedures.

What Do you Bring to the Team?

  • A post-secondary education in Accounting, Finance, Business Administration. Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic/experience requirements
  • Proficiency with Microsoft 365 applications and Sage 300 would be an asset
  • Strong ability to multi-task, prioritize and work efficiently to meet required deadlines
  • Excellent communication skills: ability to listen actively and communicate both verbally and in writing
  • Ability to take initiative; proactively seeks and implements solutions to enhance organization’s efficiency
  • Superior organizational skills with attention to detail
  • Excellent creative problem-solving skills
  • Exemplary time management skills and capable of working productively with minimal supervision

What Will You be Doing?

  • Utilizing computerized accounting software systems including (but not limited to) Sage 300, Powercode, Excel, and Smartsheet
  • Assisting with process and system improvement projects and implementation
  • Maintaining accurate and complete accounts receivable, and inventory records and files
  • Preparing monthly invoices in accordance with customer agreements for sales or services rendered
  • Conducting new and renewal contract comparisons for accurate invoice/billing entry and generation
  • Providing customers with billing/invoice related communications (welcome emails, PAD/EFT approval documentation, online payment information, etc.)
  • Receiving and processing payments via cheque, EFT, PAD, etc. using accounting software
  • Analyzing and notifying all overdue accounts within specified contractual timeframes
  • Supporting all accounts receivable responsibilities required for period close, including reconciliation and deferral entries
  • Identifying discrepancies, variances, and errors; correcting, as required
  • Maintaining bank deposit controls and delivering bank deposits
  • Responding to customer inquiries with accuracy in a timely and professional manner
  • Communicating overdue balances with customers, making payment arrangements as necessary, to receive outstanding payments in accordance with NRBN’s policies and procedures
  • Assisting with administrative and clerical tasks for the Finance Department
  • Other relevant duties or project within the scope and spirit of the position as assigned by Management

Working Conditions

  • Indoor office environment with occasional local vehicle travel
  • Occasionally required to extend hours of work to meet work demands or customer requirements including evenings or weekends

Special Conditions 

  • This position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate (‘PCRC’, ‘CRC’)
  • A valid G-class driver’s license and clean driving abstract is required
