NIAGARA FALLS DOWNTOWN BUSINESS IMPROVEMENT AREA POSITION DESCRIPTION
This description reflects the general details considered necessary to describe the

POSITION TITLE:

Communications, Marketing, and Office Manager

POSITION SUMMARY:                                                                                                   

We are looking for a creative and enthusiastic Communications and marketing expert with experience in administration. The
successful applicant will join our small and dynamic team and will assist with a wide array of day-to-day tasks and projects.
This role will encompass various aspects of our functions including writing, event planning & support, project support and
general admin duties.

RESPONSIBLE TO: Executive Director

SUPERVISES: Volunteers and Committees

EQUIPMENT AND TOOLS:
General office equipment including computers – on-site duties,on day of events

RESPONSIBLE FOR:
Work closely with the Executive Director to assist in all areas of event management, marketing, communication, and special
projects:
• Assist in the development and implementation of brand
• Create and upload content for web- site including original content, stories, infographics and documents
• Management of all social media accounts
• Update various policies, procedures and programs
• Create social media and communications plan
• Creation and implementation of social media schedule
• Help to plan and support various festivals and events
• Develop a story bank for stakeholder relations; collecting quotes, writing stories, taking photos
• Organize and direct promotional events
• Make sure all promotional and marketing materials fit BIA branding and identity
• Support sustainability initiative in data management, as well as the sustain analytics submission
• Identify and resolve any issues with promotional content in a timely professional manner
• Serve as a point of contact for media and public questions
• Assess and report on the effectiveness of communications
• Coordinate meetings, press conferences, and presentations
• Support the record management process for stakeholder relations and communications in partnership with information
management
• Produce and distribute the monthly newsletter
• Capture and archive digital communications assets, including graphics and videos
• The Communications Coordinator shall also undertake other tasks, activities and responsibilities as he/she deem to be
appropriate to fulfill the responsibilities of the position, and as agreed to by the Communications and Marketing Manager and
Executive Director

Office Manager Responsibilities:
• Prepare communications between Board, Membership, and City
• Create and maintain filing systems, both physically and electronically
• Maintenance of databases for businesses, ordering office supplies, maintaining office equipment
• Manage invoices and perform/coordinate with bookkeeping
• Answer phones and schedule appointments, and maintain calendars
• Attendance at all committee meetings
•Produce and distribute committee agendas, including creation of meeting minutes
• Resolve administrative issues and membership challenges

REQUIREMENTS:
• Present at all BIA season events
• Proven experience with events and communications
• Possess a solid understanding of effective marketing techniques
• Have superior writing and editing skills
• Strong time-management and organizational skills
• A proven track record of organizing successful events
• Proficient in MS Suites
• Google Ads, adobe creative suites (photo/video), canva
considered an asset
• Outstanding communication and negotiation ability
• Well-organized with multi-tasking skills
• Able to handle stress and remain calm
• Problem-solving ability
• Degree in public relations, communications, marketing, event management and recreation and leisure, or relevant field is
preferred
• Social media management and content creation background
