Position Description:

  • Create Purchase Orders and send out to vendors for US location and daily production floor requests.
  • Obtain three quotes for all purchases to ensure we are getting the best pricing.
  • When requested, expedite delivery as required with approval for fees from the Office Manager. Research suppliers to find the best pricing and delivery and share with Procurement.
  • Work with the Accounting and Receiving departments to compare invoices against purchase orders and shipping and receiving documents to verify receipt of items ordered.
  • Interact and negotiate with suppliers.
  • Communicate all delivery delays to the appropriate parties.
  • Complete daily review of Open Purchase Orders report to ensure timely receipts of goods.
  • Complete all purchase orders and work with suppliers for our US location.
  • Complete all daily ordering to support the production floor and maintain general bill of materials daily.
  • Work with the Receiving department and vendors when discrepancies arise between shipments and orders, including damaged or lost shipments, and take appropriate action.
  • Maintain accurate item costing in QuickBooks.
  • Maintain record of quotes and order confirmations in QuickBooks along with available tracking details.
  • Regularly negotiate pricing structure and volume discounts to achieve maximum savings with vendors.
  • Ensure accurate job allocation for all Purchase Orders.
  • Check current stock availability before placing any orders.
  • Other duties as assigned



The Ideal candidate will have the following skills, attributes and experience:

  • High School Diploma or GED required.
  • 1-2 years’ experience with Purchasing.
  • Must possess a high level of moral judgment for handling confidential information and monetary transactions.
  • Strong diplomatic, negotiation, and conflict resolution skills.
  • Experience creating Purchase Orders in QuickBooks.
  • Effective attention to detail and a high degree of accuracy.
  • Strong work ethic and organization skills.
  • Sound analytical thinking, planning, prioritization, and execution skills.
  • Excellent teamwork skills and positive team attitude.
  • Able to effectively communicate both verbally and in writing.
  • Able to build and maintain lasting relationships with other departments, and vendors.
  • Strong problem identification and problem resolution skills.
  • High level of proficiency with Microsoft Office productivity suite.
