Office and Health Plan Administrator

The Brock University Graduate Students’ Association (GSA) is a student organization and a registered not-for-profit corporation with a mandate to represent the interests of approximately 2,000 graduate students at Brock University.  We are searching for a new office team member with passion, energy, dedication and commitment to helping the whole team succeed in supporting the services we provide and foster a climate and culture that sees our members make the most of their time in Graduate Studies at Brock University.

Employment Status: Permanent Full-Time

Salary Scale: $20.00 – $25.00 per hour

Hours of Work: 35 hours per week

Job Summary:

The Office and Health Plan Administrator will provide administrative and clerical assistance to the Executive Director, Communications & Events Coordinator, as well as to the elected Executive team.  They will be required to undertake a variety of day-to-day office and clerical tasks and will function as an integral member of the organization in order to ensure that operations run smoothly. Their responsibilities will generally be divided between those requiring direct oversight and accountability, and those that will be done in conjunction with the Executive Director and/or members of the entire team.

The ideal candidate will possess excellent organizational and communication skills normally developed through similar administrative roles.  They will be comfortable dealing with people, specifically students, and able to carry out administrative duties with accuracy and speed, often in the face of competing priorities and deadlines.

Direct Management Responsibilities

  • Accurately administer the graduate student Health and Dental plan, maintaining ongoing review and management of the benefits plan in coordination with the plan provider and the Executive Director
  • Follow office workflow procedures and policies, and provide recommendations, to ensure maximum efficiency
  • Provide reception, guidance and inquiry support to visitors of the GSA Office
  • Confidentially deal with student issues or complaints, understanding how to provide appropriate referrals, when required
  • Coordinate transfer of confidential information and reconcile financial records between the GSA, Student Finance and the benefits plan provider

Indirect Responsibilities

  • Provide support and backup to the Executive Director of basic bookkeeping activities, processing of biweekly payroll and updating QuickBooks accounting system
  • Maintain, with support from the Executive Director, all files and records of the GSA with an effective filing system
  • Support the GSA Executive team and Executive Director with various administrative tasks (redirecting calls and emails, election support, room bookings, etc.)
  • Provide backup support to the Communications & Events Coordinator with various administrative and activity tasks (meeting recording secretary, event planning, e-newsletter distribution, website updates, etc.)
  • Support the Executive Director in preparing for the annual audit, yearly income tax and government information returns, as required, for a non-profit corporation

Qualifications

  • Proven administrative experience in an office environment, normally acquired through the role of office coordinator or office administrator, ideally with a background in health and dental plan administration
  • Knowledge of basic bookkeeping principles, payroll preparation and office management systems and procedures
  • Outstanding knowledge of Microsoft 365, QuickBooks accounting software and WordPress content management system
  • Working knowledge of office equipment (e.g. photocopy, printer, scanner)
  • Excellent communication and interpersonal skills
  • High degree of judgement and discretion, as well as confidentiality, to handle various contacts and situations that arise
  • Strong organizational skills, with the ability to determine priorities and meet deadlines,
  • Dependable and reliable, with patience and professionalism
  • Ability to learn and adapt in a dynamic, busy working environment
  • Business degree, normally acquired through a relevant college or university program

Additional Experience considered an Asset

  • Employment or volunteer experience in a post-secondary educational environment, specifically with a graduate student population
  • Knowledge of the organizational structure of post-secondary institutions
  • Understanding of structure and function of not-for-profit corporations
  • Direct experience within a student union or student association environment, ideally with activities and outward facing service provision
