Full-Time Event & Sales Co-ordinator

Job Description

  • Responsibilities include but are not limited to, Creation of Client Booking Contracts, Contract Revisions, Deposits and Payments as needed by Sales Management Team.
  • Continued Updating of the Sales Department O/S Report for continued accuracy of details with regards to group booking Deposits and Final payments. Distributed weekly to Ownership, Finance, and the Sales Team.
  • Data entry as required into but not limited to SalesForce, Meridian Ticketing System and required Spreadsheets.
  • The Sales and Events Coordinator becomes a natural and seamless support member of the Management Sales Team by continually implementing and redefining processes that result in profitable, effective, and efficient tickets sales operations, providing both theatre patron and organization satisfaction.
  • Assist Operations and Sales Associates with implementation and communication of Banquet Event Orders, Event setup and execution as well as Seasonal changes in full theatre décor.

Job Requirements

  • Successful completion or enrollment in a post-secondary program in Sales & Marketing.
  • Minimum of 1 years of Sales & Marketing or equivalent experience.
  • Experience in the tourism industry preferred; with specific customer service in sales and marketing.

Skills, Knowledge, and Abilities

  • Advanced computer skills preferred. Microsoft Office (Outlook, Word, Excel, PDF Creation, etc.)
  • Advanced organizational ability and time management skills required.
  • Ability to be flexible, adaptable, and capable of doing several functions at once with deliberate speed and accuracy without immediate and constant supervision.
  • Advanced data-entry skills required for Ticketing Program and database upkeep.
  • Effective communication skills – written, verbal and body language.
  • Ability to work independently and work well with others with the goal of consensus building within Greg Frewin Theatre’s Team Member framework.
  • Maintain open lines of communication with Management and ALL department managers.
  • Strategic planning skills are an asset.
  • Ability to apply principals of logical thinking to a wide range of intellectual and practical problems. Ability to manage a variety of activities simultaneously.
  • Above average diplomatic skills required for outside contracts and/or negotiations.
  • Ability to exercise good judgement in recognizing scope of authority and protecting confidential information a must.
  • Ability to exercise professionalism, diplomacy, and tact.
  • Ability to build harmonious working relationships.

Event & Sales Co-ordinator is an hourly position with a weekly 30-40 hour work schedule; typically with a five day work week with 6-8 hours per day.  Greg Frewin Theatre sales initiatives and special events may require occasional scheduling.  There is occasional casual overtime.  Some days may contain early or late meetings beyond the scheduled work hours.

  • Demonstrate a commitment and passion to maximizing theatre patron satisfaction by delivering outstanding and personalized customer service.
  • Time management, prioritize workload to facilitate and meet timelines, deadlines, etc.
  • To maintain a personal image of professionalism to the Theatre Patrons, Group Sales Clients, Industry Partners including fellow Greg Frewin Theatre Team Members
  • Demonstrated ability to set high priorities, standards, and demonstrates urgency in achieving the critical goals and objectives of Greg Frewin Theatre.
  • To participate and contribute in the annual preparation of the GFT Sales Plan process.
  • Cultivate and maintain an extensive knowledge of all GFT functions, initiatives, and activities.
