Job Purpose | Overview

The Logistics Coordinator, acts as a conduit between customers, and internal stakeholders in order to ensure that orders are received, processed, invoiced and shipped promptly and efficiently. The Logistics Coordinator works closely to determine delivery needs and deadlines for accurate and timely of deliveries
The Logistics Coordinator is responsible for tracking and documenting the outcome of shipping and delivery according to sales and production. The Logistics Coordinator participates in all assigned training, setting and meeting personal goals. The Logistics Coordinator understands her/his role as brand ambassador and provides positive experiences to all customers.

Duties:

Duties and Responsibilities

  • Works closely with Packaging, Production and Sales to determine delivery need and deadlines for accurate and timely deliveries.
    •Prioritize, manage and schedule deliveries according to shipping dates, sales requests
    •Manage and coordinate all courier and freight deliveries from two locations as well as organize any drop shipments from a supplier being delivered directly to a customer, eliminating the need to pass through our facility
    •Monitor and ensure that all payment terms are met by inquiring with the accounting team before shipping product to customers
    •Create, process and file all required paperwork and documentation for outbound shipments including freight quotes BOL’s packing slips, invoices, informal customs entries for low value shipments, Canada Customs invoices etc.
    •Track and verify the receipt of shipments as required and respond to any customer concerns. Report and monitor any discrepancies, issues or damages.
    •File claims with the responsible carrier for any damages that were that were incurred during transport- organize all relevant documents and gather proof of damages.
    •Review all cross border shipping documents, labels and customs paperwork to ensure they meet cross border regulations
    •Report any problems or issues with the status of deliveries of special interest to the Sales Department and Management
    •Answer any incoming queries for the sales team in reference to the tracking and the status of shipments.
    •Create, maintain and update all necessary files to ensure that all shipping information is up to date for easy reference.
    •Follow up with Production and packaging of any shipments that have been slated for delivery.
    •Produce freight quotes from the estimated manifest by the packaging department in order to generate invoicing for advanced payment
    •Contact consignees to verify/confirm the shipping information provided on the sales order as well as any requirements, restrictions or other personal requests.
    •Using the information gathered from these phone calls, acquire a freight quote that will be added to the customer invoice before shipping the product out
    •Often produce packing slips and prepare invoices for the purpose of completing the customs department that are required for crossing the border
    •Maintain communication with broker to ensure that there are no issues or problems with the export of our products and resolve any problems/issues that might arise
    •Monitor the arrival and pick up times with the carriers and ensure that the product and related documents are prepared in a timely fashion.
    •Complete any other related duties as required.

Qualifications

  • Prior experience with Logistics will be considered an asset
    • Exceptional verbal and written communication skills.
    • Superior telephone manners and strong interpersonal skills.
    • Strong customer service orientation and troubleshooting skills.
    • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.

Physical Requirements

• Manual dexterity required to use desktop computer and peripherals.
• Long periods of sitting required
