Job Description

PURPOSE OF POSITION:

To provide administrative assistance to the Manager of Quality Assurance with building and vehicle operations. Gathering data, scheduling servicing appointments, tracking maintenance, ensuring routine inspections, providing reports.

STATEMENT OF MAJOR RESPONSIBILITY:

-Providing clerical and administrative support to the Manager of Quality Assurance gathering data, processing information, providing reports, updating documents, arranging and attending meetings as required, taking notes and recording pertinent information;

-Develop and maintain relationships with contractors and community partners;

-Assist in the development and maintenance of tracking systems for general property maintenance, vehicle maintenance, vehicle licensing and insurance coverage, regular vehicle and property inspections, etc.

-Track authorized vehicle gas card and Road Side Assistance cards/users;

-Coordinate vehicle plate renewals;

-Liaise with vehicle service and inspection companies, vehicle insurance company and gas account companies;

-Track annual inspections required. Sprinklers, fire alarms, etc.;

-Gather and organize day to day maintenance request forms;

-Organize a daily priority list for the Maintenance Person;

-Maintain Inventory lists;

-Maintain Contractor lists;

-Maintain ongoing maintenance list;

-Maintain all property and vehicle files;

-Track vehicle repairs;

-Track property maintenance;

-Maintain account lists;

-Manage Cogeco Accounts – log ins, passwords, contact when issues with service;

-Maintain Ensign Alarm employee keypad positions, ID’s and passcodes – make updates as needed (add and delete when new admin employees are hired or leave);

-Maintain list of CLFE Staff entry door keys – purchase new as needed;

-Logging of all completed inspections on group home maintenance sheets (including costs/dated completed) and in AIMS;

-Coordinate waste management ie; medical waste, biohazard waste, dump exemption, etc.

-Schedule Yearly Inspections

-Fire monitoring systems

-Elevators

-Outdoor lifts

-Generators

-Furnace, air conditioning systems and gas fireplaces

-Fire Alarm and Emergency Lighting

-Fire Extinguishers – all locations and wheelchair vans

-Sprinkler Systems

-Water filtration systems

-Cistern inspection and cleaning

-Group Home & Industrial AED Pad and battery changes;

-Schedule semi-annual wheelchair van inspections;

-Track gas consumption, gas cards;

-Research items needed, as requested by the Manager of QA;

-With the approval of the Manager of QA, arrange for maintenance services as needed, at the various organization sites;

-Performing other related duties as assigned.

HEALTH & SAFETY:

-Work in compliance with the provisions of the OHS Act and regulations

-Use or wear equipment, protective devices or clothing that the employer requires

-Report to Manager the absence or defect in any equipment or protective device of which the worker is aware

-Report to the Manager any contravention of the OHS act or regulations or the existence of any hazard of which he or she knows

-Bring forth any suggestions that would promote health and safety proactively within the work environment or within CL-FE

-Be alert to health and safety dangers

-Attend all scheduled training sessions

-Assist in reducing lost time incidents

KNOWLEDGE AND SKILLS:
A good understanding of all programs provided by the Association; excellent computer and typing skills, strong communication skills both oral and written. Broad knowledge in the areas of building and vehicle repairs and maintenance.

QUALIFICATION CRITERIA:
Preferably training in area of Property Management at a recognized College Program or at least three years directly related experience. Developed knowledge and experience in vehicle and building repairs, research and costing. Proven ability to work under general supervision and to prioritize the work.

Education:
DCS / DEC (preferred)

Experience:
administrative assistant: 2 years (preferred)
Property Management: 3 years (preferred)
License/Certification:
Class G License (Preferred)

Pay: $19.75-$22.50 per hour

Schedule:

Monday to Friday
No weekends
