Full-Time Regional Finance Administrative Assistant (1 Position)

Job Description

Position Summary

Reporting to the Finance Director, the incumbent is responsible for the administrative and finance duties associated with the Regional Programs, Housing First, Home for Good and Outreach.

Hours: 35 scheduled hours per week

Position Specification

  • Completed post-secondary education in accounting or administration
  • § Applied knowledge of budgeting and accounting
  • § Strong skills in Excel, Word and Teams
  • § Working knowledge of CRMS program
  • § Analytical and problem-solving skills
  • § Knowledge and demonstration of Gateways philosophies
  • § A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills
  • § Strong morals and ethics, along with a commitment to staff and client privacy
  • § Excellent interpersonal skills
  • § Good oral and written skills
  • § Equivalent combination of education and experience

Responsibilities and Duties

Working with a small team, this position is responsible for the financial duties as required by the Housing First and Home for Good programs:

  • §Client Move in and Move outs – ensuring the proper documentation is presented and that approval is received for the subsidy
  • § Request, payment and tracking of last month’s rent
  • § Maintaining tracking spreadsheet for rents & subsidies
  • § Record Revenue & subsidies
  • § Ensure rent or subsidy increases are applied
  • § Set of monthly EFT’s in CAFT system for the landlords for Finance Director to release
  • § Do statement of deposit reconciliation matching GL to backup
  • § Set up monthly journal entry
  • § Set up cheque batch for any landlords not captured in the monthly EFT
  • § Reconcile all payments to the general ledger
  • § Set up journal entry for any deferred revenue
  • § Reconcile invoices to funding agreements
  • § Bill funders according to funding agreements
  • § Maintain flow-through payments to community partners ( Southridge, The Raft) as per MOU
  • § Damages – reconcile damages petty cash, complete journal entry and set up cheque batch in A/P for processing
  • § NRH Annual Reviews – distribute, follow-up with Team Leads at 30,60 and 90 days, receive confirmation
  • § Demonstrated knowledge of Housing First principles, guidelines and related housing
  • § Other duties as assigned

Working Conditions

  • Interacts with residents, family members, staff, visitors, government agencies/personnel
  •  Manual dexterity required to use computer/laptop and peripherals
  • § Intermittent physical activity including walking, sitting and standing
